Terms of Service
The following terms of service outline everything that is included in either your annual or month-to-month subscription to The Hive. These terms of service also represent your full production agreement, if you are subscribing to The Hive’s annual or Month-To-Month service.
Introduction:
Welcome to The Hive. We are a subscription based video Production service that helps you create quality, recurring video content to promote your business, organization, service, or products. Our cost effective process to creating monthly content will give you the tools needed to market and advertise what it is your do best, using one of the most effective communication tools available, today.
How it works and Your Role:
The Hive is an ongoing commitment between you and our studio. Together, we will work creatively to develop the strongest strategic approach to create content for you. To insure the success of this ongoing relationship, and to promote a positive outcome, we ask the following of all persons involved in the process of content creation:
Come to every Creative Strategy Session with ideas.
Promote open and consistent lines of communication.
Define and honor clear delivery expectations.
Define and respect creative expectations.
Respect all parties time commitment to the project.

What you receive with your subscription:
The following details are featured in your subscription:
Kickoff Meeting:
After your purchase, our studio representative will connect with you to schedule a time for your kickoff meeting.
Your kickoff meeting agenda will include:
Scheduling your recurring Creative Strategy Session dates and times. (see section below for more information about scheduling)
Schedule your recurring In-Studio Filming Session dates and times. (see section below for more information about scheduling)
Discuss Your overall strategic goals and expectations for your video content for the coming year.
Your Kickoff meeting is held at Alvarium studios, located at 342 Market Ave. SW, Grand Rapids, MI 49503. The client must attend the kickoff meeting either in person or remotly via google hangout or Skype.
Content Creation - Your subscription includes (1) Creative Strategy Session and (1) In-Studio Filming Session each month. These sessions are recurring with the same date and time, respectively.
For example: Your Creative Session is scheduled for the first Monday of every month for the next 12 months -AND- your Filming Session is scheduled for the third Monday of every month for the next 12 months.
In-Studio Filming Session - Your scheduled 1 hour shooting time starts promptly at your scheduled time, so please arrive 15 minutes prior to your shoot in order to get settled and get into wardrobe/makeup, if necessary.
Creative Strategy Sessions - Creative Strategy Sessions are reserved for the FIRST Monday and Tuesday of each month from 9 a.m. - 4 p.m.
In-Studio Filming Sessions - These sessions are reserved for the THIRD Monday and Tuesday of every month. The following times are reserved based on a first come, first serve basis. The available filming windows for both days are as follows:
Schedule
8 a.m. - 9 a.m.
10 a.m. - 11 a.m.
1 p.m. - 2 p.m.
3 p.m. - 4 p.m.
5 p.m. - 6 p.m.
Video Delivery Deadline - Your finished video content will be delivered to you no later than the End Of Day (EOD) on the last day of every month.
Rescheduling: We understand that schedules are busy and can change. Therefore, we try as much as possible to be as flexible with our clients’ schedules. Please observe the following rescheduling policy:
Rescheduling Policy - All rescheduling needs to occur 72 hours before the scheduled session date and time.
Creative Strategy Session - You can move this session up to either 3 business days before or after your scheduled date and time. You may reschedule this up to 3 times per year before we will need to reassess your schedule. Fees may apply.
In-Studio Filming Session - You can move this session up to either 2 business days before or after your scheduled date and time in studio. You may reschedule this up to 3 times per year before we will need to reassess your schedule. Fees may apply.
Failure To Reschedule - If you fail to reschedule your Creative Strategy Session or In-Studio Filming Session before the 72 hour cutoff you will have the option to either:
Pay a rescheduling fee of $500.00 to reschedule your meeting or shooting session.
-OR-
Forfeit that month’s content. The following month will resume with your regular schedule.
Development:
This phase begins every month with your Creative Strategy Session and ends at the day of your In-Studio Filming Session.
In this phase of your project, our creative director and cinematographer work with you to develop your upcoming month’s video content. This includes the following steps:
Creative Strategy Session - A one hour meeting where everyone discusses the needs, goals, strategy, creative ideas, tone, style and what will be featured in your upcoming video.
This meeting is held at Alvarium Studios located at 342 Market Ave. SW Floor 2 and must be attended either in person or via remote conversation services by the client.
At the beginning of every Creative Strategy Session we will appoint the month’s point-of-contact person. (see section 5.a for more details.)
It is important that our time is used efficiently in the Creative Strategy Sessions. Therefore, we ask all clients to come to their session with clearly defined goals, strategies and creative ideas in mind. This will allow for maximum time to discuss and develop these goals, strategies, and ideas into a coherent treatment that we will move us forward.
Creative Strategy Sessions are not brainstorming sessions. We do not want to discourage brainstorming in your sessions, however we need to guarantee that we leave each session with a clear expectation and goal in mind for the content we will be creating.
Treatment - After each Creative Strategy Session our creative director and cinematographer will create a treatment for that month’s content.
A treatment is a one page outline that condenses down what was discussed and agreed upon in the Creative Strategy Session.
It will be drafted to reflect an accurate interpretation of what was agreed upon, as well as what creative techniques will be used during filming.
The treatment will be submitted to the client, for their approval, no later than (5) days before the scheduled In-Studio Filming Session.
Storyboards - Along with the creation of the treatment, the creative director and cinematographer will develop shots that will be filmed in studio. These shots will be shared with the client in a storyboard format.
The storyboards will be submitted to the client no later than (5) days before the scheduled In-Studio Filming Session.
Development Sign-off Form: This form will be submitted alongside the treatment and storyboards (5) days before the scheduled In-Studio Filming Session.
This form indicates the client’s approval and acceptance of all submitted content featured in the treatment and storyboards.
The completed form must be returned to the creative director no later than 72 hours before the shoot date.
If for any reason the client has problems with the treatment or storyboards, they must contact the creative director with their concerns. Within the scope of the subscription, the creative director will work with the client to address the corrections.
Communications:
Point of Contact - Each month we ask that the client appoints one person from their team to be the main communication point of contact.
This person is required to be present at all meetings.
We expect an open line of communication with all clients. Therefore, we require that the appointed person makes themselves available and responsive to all communications and requests.
All correspondence will travel between this person and our creative director. This includes any communications on the following:
Scheduling
Creative Development
Equipment Needs
Special Needs/Requests
Content Editing/Notes
Delivery Formats
Final handoff and approvals
Frequency - Below are the main communication benchmarks that must be completed each month:
Creative Strategy Session
Treatment/Storyboard/Script Submission and Notes from Client
Development Sign Off Form
In-Studio Filming Session
Edited First Draft Delivery and Notes
Final Video Delivery
Production:
Studio Access - During your one hour shooting window you will have exclusive access to Alvarium Studio’s 1200 sq.ft studio space and common space.
Backdrops - During your filming you may choose from the following backgrounds:
White wall
Black wall
Greenscreen
If a green screen background is chosen, The Hive will shoot one video background per year to replace the green screen.
Additional Green Screen Backgrounds
If you would like additional replacement backgrounds filmed for you, the cost to film the shot is billed separately from your subscription at $250 per background.
Travel fees may apply for both preceding background filming requests. See travel section for details.
If you provide your own backgrounds you may supply them in any video without additional fees
Equipment Use - You have access to all of Alvarium Studio’s internal equipment packages.
Production Materials and Support Assets: Any asset owned by the client that needs to be featured in a video must be delivered to the Creative Director no later than 48 hours, on a business day, prior to the shoot date.
Production Materials - This includes anything that needs to be filmed on the day of your shoot. Including but not limited to: Props, packaging, products, wardrobe, etc.
Support Assets - This pertains to anything needed for post production. Included but not limited to: Logos, fonts, design guides, color swatches, etc.
Post Production: Once all the footage is recorded in studio, our editors take over and make your video come to life based on the creative treatment.
Deliverables - (1) 1920x1080p web format video each month
With a maximum runtime of up to 1 minute.
Number of Revisions - 1 round of revisions per deliverable.
What we are looking for notes on in your revision is:
Content
Pacing,
Music choice
Graphic/text placement
Spelling
Color
Sound design
Additional Revisions - If additional revisions are needed after the final video is delivered, the additional costs to make those changes will be assessed and approved by client before any changes will be made.
Text/Graphics - We will happily add any text or graphics to your video content as long as the following requirements are met:
Text - This includes any kind of text that will appear on-screen such as direct call outs, lower thirds, scripted prompts, etc.
For any and all text, we require the client to supply the creative director with any fonts that will be needed.
While The Hive makes every effort to ensure correct spelling, it is ultimately up to the Client to spell check all content on screen and make sure that the spelling is correct.
Graphics - This includes your logo or any other on screen graphics you would like integrated into your final video.
All graphics must be supplied by the client to the creative director in a vector format, either .AI or .EPS. If no vector format is available then a high resolution .png or .jpg may be supplied as long as its resolution exceeds 1000 pixels.
Licensed Music
All licensed music is approved for use on the web in perpetuity. This includes use for: website, social media, paid web advertisements.
If additional licensing outside the scope of web use is required then additional fees will apply.
Video Add-ons - Even though The Hive is a great service that delivers amazing content to our clients, it doesn’t do everything. This includes custom text/graphic animations, 3D animation, external b-roll and location filming, voice over work, drone cinematography, equipment upgrades, custom written music scores, set building, wardrobe, props, graphic design. If services like these are requested they will be assessed and billed separately through our other services, Alvarium Express and Alvarium Gold. Please let your creative director know if these types of services are needed.
Travel: If travel is needed beyond a 60 mile radius from our studio located at: 342 Market Ave. SW, Grand Rapids, MI 49503 then all travel fees including: meals, lodging, and mileage will be assessed and approved by client before travel occurs. All mileage rates will be assessed based on the standard federal mileage reimbursement rate for the year.
Payment Terms:
Annual: The annual subscription to The Hive is a non-recurring payment, billed in full, annually at $6,000. The full subscription payment must be paid in full before the kickoff meeting or any subsequent work will begin.
Month-To-Month:
Payment must clear before the 1st of every month.
This is a recurring monthly payment of $750 that is auto-billed each month.
Cancellation Policy:
Annual Subscription: If you are not happy within the first 30 days of working with The Hive, then we will happily refund your subscription in full. After 30 days, you may cancel at anytime with a cancellation fee of 50% of your remaining balance.
If for any reason, The Hive cancels your subscription you will receive a full refund of your remaining balance.
Month-to-Month Subscription: Cancel anytime without any fees.
Refund Policy: Refunds may not be available if cancellation occurs after your month’s content is filmed in studio.
